ADMISSIONS

Communication Management for Prospects

Prospective students and applicants participate in a variety of activities like advising appointments and attending Open House events. Based on their participation, they may need to be sent additional college correspondence. Recruit and other CRM products are actually designed to handle the prospective and applicant process.

However, Lambton had to come up with an alternative method for the time being, until a product is able to be purchased down the road. For the present time, they are using the Communication Management module. The materials sent to these individuals are generated by a communication code. This presentation is geared towards schools that cannot afford Recruit or similar software program and need an alternative solution.

Revolutionize Advising with Student Planning

In Fall 2016, the university implemented Ellucian’s Student Planning product to replace WebAdvisor. The new program has been an exceptional upgrade! It has been particularly well received by staff and students. Two members of the Advising office will explain how it has revolutionized their processes for core functions such as long-term planning, registration, graduation requests, and keeping students on track for graduation. The presentation will also focus on the keys that helped UNOH start a pilot program for faculty advising. Share how to have a smooth & effective implementation, progress towards full adoption, and challenges that they faced.

Saving a Forest of Forms – Paperless Dual Credit Enrollment

In the past, Moraine Valley had dealt with handling 3,800 dual credit registration forms and passing them to multiple departments. The college has streamlined the enrollment process and created a more efficient online process that is paperless. The presentation will cover how the high school students enroll online, how students get registered, and the process in which data gets into Colleague.

Communication Management in Financial Aid

This is a great session to learn the basic components of communication management. Start organizing your communications in financial aid and sort out communication codes, documents, paragraphs, and tracks. This presentation focuses on Colleague-generated contact and follow-up with students.

Sequestration, Loan Fee Changes… How to Make DCTL Work for You!

Loan fee changes triggered by October 1st can be a real headache, but they don’t have to be. Cedarville University will share the solution that they created. Steve Winey will present the “computed column” information, which was created collaboratively with IT. Plus, the approach used to batch change the “anticipated first disbursement date” field for all loans which should be changed. This technique saves time and avoids having to fix individual loans, which get rejected at COD due to this issue.

Financial Aid Roundtable

Share Financial Aid ideas and strategies during this interactive discussion. Table topics will range from Colleague-specific issues to current industry matters. Saved Lists are a great time saving tool, but it can be difficult to figure out where to start. This session will explore the basics of saved lists. Topics will include selecting the correct data, creating lists using SLCR or an Excel spreadsheet, editing lists, deleting lists, and more!

Leadership, Workplace Engagement & Key Skills for Driving Change

How does one go about driving and impacting change within Higher Ed? What skills are required and how do you to get started? What does successful leadership look like? How do you get ownership and buy-in at every level? This presentation will attempt to answer these questions and provide insight into how the Schoolcraft IT team, worked persistently to become change leaders within the organization. Topics that will be discussed will include positioning IT properly in the college ecosystem, enabling your team to succeed and what that looks like, how to make customer service #1, what a Requirements Tractability Matrix (a.k.a. R&V Plan) is and how to use one, and what projects make the most impact. Finally, Pat will share some of the principles upon which he has built his 30+ year career.

The Power of Implementing Position Control – Colleague HR

Oakland Community College went live with the Position Control module in June 2016. This session will feature the implementation process and the transition of position management from finance to human resources, allowing OCC to manage position vacancies better.

Automating Your Mass Notification System

If you are considering Regroup for your campus notification system to see how UNOH is using the product. The benefit of this tool is that it automatically loads from student populations in Colleague. This powerful mass notification system is used throughout the campus to keep students connected to the departments they visit frequently and services they use most.

Getting Started with Ethos Identity: A Client Perspective

Ellucian Ethos Identity, is one of the core capabilities of the new Ellucian Ethos technology platform. It improves identity management and single sign-on. Over the past year, Cedarville University implemented this product and will share the decisions that were made along the way. This will be a general overview and include some technical information.

How Sinclair Saves Trees

Learn how Sinclair College uses document imaging/management to import student applications to speed up decision making while improving communication. Because Perceptive Content integrates with our student information system (Colleague), the documents and data stored in Perceptive Content sync with our system of record. This is essential technology for Sinclair College by providing structure to all of the unmanaged information needed to make processes more efficient and people more productive.

Secure Your Servers Behind Load Balancers

Come learn how Mid Michigan Community College protects the usernames, passwords, and web traffic of 4,500 students and staff using open source HAProxy load balancers. This presentation will include sample configuration for several self-hosted web applications including Colleague UI 4/5, WebAdvisor, Payment Gateway, and the Self-Service modules. This is a great session for schools that want to be able to respond effectively to new SSL vulnerabilities, streamline the complexity of reissuing certificates, and deploy new web apps quicker.

Security Access in ERP

Managing security access in a dynamic enterprise resource planning (ERP) environment can be challenging. While there is usually a lot of emphasis placed on new security access, the importance of reviewing current user access can be overlooked. This panel will discuss best practices in the Colleague by Ellucian environment, including a security audit process that Delta uses.

 

REGISTRATION & VETERAN SERVICES

Mining Your Data for Degree Completers

Did you ever wonder how many of your current students have already earned a credential but have never had it posted? The numbers may surprise you! Oakland Community College developed a batch process to review thousands of student records to identify unposted degrees. This process can be completed by one person within one to two days. Over the last two years, OCC’s efforts have identified over 3,500 degrees that have been completed by almost 3,000 students. This session will cover their process and how the work has also improved other efforts at OCC.

Military-Affiliated Data Capture: Best Practices for Certification Reports and Creation of Services

Once your institution has a handle on your military-connected students and their data collection, what do you do with it? In this session, we’ll discuss ways to use the data to help you better serve this population. This will include conflict resolution, event planning, overall communication with your military-connected students, and ways to streamline education benefit reports for GI Bill and Military Tuition Assistance to give your certification staff more time to serve this population. Join us to discuss how your collected data and reports can be used to increase office efficiency and leverage better services for your military-connected students.

Military-Affiliated Data Capture: Is it Accurate and Why is this Important to Your School?

Capturing the data behind military-connected students is critical to reporting functions. This holds true when looking to build or enhance services to this demographic, and it’s becoming necessary for government reporting requirements. The biggest roadblocks to proper reporting is gathering the data accurately and getting respondents to self-report their military connections. Often, schools rely on outdated processes to collect data, and miss out on important pieces of information. For example, how the school records a student with multiple military-affiliations – a reservist, who also is using the GI Bill and is a self-reported veteran. This session will offer tips and discussion for improving data collection and verifying accuracy, as well as reasons why this process is critical to your institution.

Replace Batch Systems with Real-Time Interface to the Bookstore

Learn how you can implement a two-way, real-time interface between Colleague Financial Aid and the campus bookstore. With Trimdata’s product, students have easy access to course materials before classes start. Administrators have a streamlined process that reduces errors and eliminates manual labor. Charges are authorized and posted on the student account in real-time. This tool works with most POS systems: Akedemos, Barnes & Noble, BBA, Booklog, eCampus, Follett, MBS, Nebraska, and others.

Using a Data Warehouse to Automate VFA (or any) Reporting Requirements

The primary goal of Pima Community College’s data warehouse project is to provide wider access to the College’s mission and KPI measures while simultaneously delivering more data for interactive exploration using a modern business intelligence platform. Such a large undertaking for a college that had a limited BI deployment in the past, raised the usual issues of data availability, consistency, and understanding.

An effective approach to address this challenge is to choose a defined purpose and outcome for the first phases of the data warehouse. Starting with ASR’s “Student Success Analytics” (SSA) data warehouse model, Pima chose the Voluntary Framework of Accountability (VFA) metrics and iteratively build interactive reports and dashboards in SSA to address these requirements. The VFA is a practical, comprehensive, user-centric report that related closely to the College’s mission and KPI measures and requires a detailed understanding of the institution’s business processes. This approach has significantly improved PCC’s reporting practices to meet end users’ expectations and deliver significant value to the College’s business. However, any similar reporting initiative like Complete College America (CCA) could also be used.

We will discuss keys aspects of this challenging task, including model construction, locating data sources, transforming the data, building dimensions and much more.

Understanding digital trends and triangulating where your institution should go and why is going to take a new way of thinking and a modification to the organizational structure. Schools can start small and build the know-how over time, but institutions need to begin now because “consumer technologies, digital strategies, enabling technologies, internet technologies, learning technologies, social media technologies, and visualization technologies — are all positioned to impact higher education over the next five years.”
